RMS Partners with FlipKey

RMS announces its partnership with FlipKey, a leading vacation rental service provider. FlipKey boasts the largest collection of verified vacation rental guest reviews on the web. It is a provider of vacation rentals on TripAdvisor, the largest travel community in the world with more than 25 million unique monthly visitors. FlipKey is majority owned by TripAdvisor, LLC and exclusively powers the TripAdvisor.com vacation rental site. FlipKey was also named the “Top Vacation Rental Site” in 2008 by Travel and Leisure Magazine.

RMS FlipKey members are able to easily publish guests reviews, receive e-mail inquiries, receive phone leads and even allow online bookings through
TripAdvisor.

Vacation Managers using RMS and FlipKey can automatically e-mail guests that have departed and request a guest review. These reviews help to increase reservations by giving travelers more comfort in booking, and lead to better inquiries and ultimately more guests. Booking online through TripAdvisor is made possible as unit information and availability updates occur automatically with RMS.

Property managers using RMS are encouraged to join the program to experience the benefits of this partnership and take advantage of the increased bookings and promotion services.   Contact us for more details: 800-366-5152.

What is a Traveler Review?

A Traveler Review on the website TripAdvisor.com is a way for guests to write about and share their vacation experiences at your accommodation or resort. It may include any details of the location including restaurants or attractions they visited during their stay.

The review must follow established guidelines in order to be published such as non-family–friendly content is prohibited. All reviews must be written by a traveler, based on personal experience and not second-hand or hearsay information. Employees or management of establishments may not pose as guests and write reviews

Reviews must be fairly recent, and that means the content should cover experiences that have taken place in the last three years.

No personal insults or irrelevant comments will be posted. Questions or comments to property representatives, TripAdvisor, FlipKey or its members are not allowed.

RMS users that are FlipKey members can easily collect and manage Traveler Reviews. These reviews can be integrated onto your website seamlessly or into your RMS unit detail page for use in a variety of ways.

RMS Maintenance: Work Orders

If you are involved in the maintenance of the properties you manage, RMS has two ways to assist you in documenting and billing all the work that you do!

For an “after the fact” work order use the accounting work orders. The accounting work order entry is found by going to the top tool bar and then choosing Work Order Entry from the accounting drop-down menu. A work order transaction screen opens up that allows you to create new work order transactions that appear directly on your owner statements. You can also view past work order transactions that were entered as accounting work orders from this screen by clicking the view button. These accounting work orders can create payable entries if they are tied to a vendor or they can be distributed directly to a GL account.

This type of work order is an easy way to enter a line item directly onto an owner statement after the job has been completed and is billable to the owner. If you are interested in creating work orders that start when the job is first requested you may want to use the Maintenance work orders.

The Maintenance work orders go through a series of stages from when the job is first requested or the need for repair is reported, to assigning, completing and billing the work order. Work orders created in the Maintenance system are not automatically entered on the owner statement. The “Post Work Orders to Owner Accounts” utility tells RMS that you have completed the work order, it is billable and to include it on the next available Owner Statement.

The Maintenance work orders also allow for vendor mark ups and differentiating between labor and parts costs.

RMS Hot Tip:  Season Supplements

The Season Supplement file allows you to apply restrictions to check-in or check-out days, specify the minimum number of nights permitted for a reservation or apply restrictions to reservations crossing seasons.   It works with the Seasons file. It is not required that you use the seasons supplement file.

The Season Supplement File is located on the Files Menu. When you create a ‘New’ Season Supplement File you give it an ID and Description. You must also assign a seasons file to the supplement from the list of seasons already in the system. This tells RMS what dates to apply the restrictions entered for this supplement.

You can set the ‘Minimum nights’ and the ‘Check-in days allowed’ or you can leave one of these alone. It is not required that you set both of them. If you are using either ‘Minimum nights’ and/or the ‘Check-in days allowed’ you do not set the Departure days or Cross Seasons values.

If you have units with restrictions you assign the Supplement in the Unit File on the Rates and Charges screen. You tell RMS which Season Supplement to use for each of the three years your system is tracking.

If you want the same restrictions to apply to a unit throughout the year, use the ALL YEAR season to attach to your season supplement. The ALL Year season should already exist in your systems Seasons Files and should run from January 1 through December 31 for each year you are tracking.

If you are using restricted Departure days located at the bottom of the screen, then you do not set Minimum Nights and the Check-in days. Simply check the boxes for the days departures are allowed while the season is highlighted at the top portion of the screen. Departure days restrictions are not required.

The Cross Seasons Arrival/Departure Days is only used when Departure days restrictions apply.

Season supplements apply to all bookings made in units they are assigned to, including in office and online bookings. Some restrictions may be overridden when making in office bookings by choosing the “not verified” option on the Reservation by Unit screen.

Let RMS Help you Create New Profit Centers

RMS can help you build new profit centers within your rental program using the tools already at your fingertips and a little ingenuity.

Add equipment in the Equipment File and allow guests to order it during the booking process. Create new charges for the Charges file and add to a reservation. RMS automatically calculates these charges and equipment rentals when the reservation is booked.

Guests are always looking for extra value, so be sure that all services are listed and promoted whether they incur an extra fee or are included as part of a hospitality package.

Amenities in RMS are another way you can add value to your reservations. Amenity charges are embedded in the rent so the prices are not itemized to the guest. Owners do not share in profits from amenities, they go directly to the management company. RMS allows you to design packages to promote your amenities and services and apply advertised discounts to promote these features at your resort.

RMS also helps you make the most of your advertising dollars with the Advertising Report.

.
RMS looks forward to a long lasting partnership that will be a great benefit and convenience to our valued customers

RMS Celebrates 25 Years in the Vacation Rental Industry

It was 1984 when RMS was first released...Ronald Reagan was president, Amadeus won best picture, the first Mac went on sale, the average cost of a new house was $86,730.00. You could buy gas for $1.10 a gallon. The first commercial CD players went on sale. The first 3 1/2” computer disk was made by Sony. Movie goers went to see Terminator, Splash, and Ghostbusters for $2.50, the price of an average movie ticket . Tina Turner was belting out “What’s Love got to do with it?” and we were listening to other songs from Billy Joel, Phil Collins, Bruce Springsteen or maybe you were listening to Cars or Duran Duran. People were watching Dynasty, Knight Rider, The A -Team, Magnum PI, Cheers and Jeopardy. We still watch Jeopardy.

We did not have Windows from Microsoft or VRMA (Vacation Rental Manager’s Association) or many vacation rental software programs to choose from, but we did have RMS, the Resort Management System.   And we still have RMS!

The first RMS was a DOS based system that was responsive to the keyboard only, rather than the mouse. An integrated accounting and general ledger accompanied the reservation system which allowed the reservation by search and the reservation by unit booking processes.

RMS did not have icons on a navigation menu, the colorful tape chart, the unit calendar, travel insurance, online booking, credit card processing, trust–based accounting, disburse or escrow settings, package and promotions options, inactivate unit settings, automatic updates, Hosted RMS or Online booking to name a few of the enhancements to date.

RMS is proven, reliable software for the vacation rental industry! Thanks to all our past and current users. We couldn’t have done it without you!

RMS Hot Tip: Should you detete or inactivate a unit?
RMS allows you to change the status of a unit from "Active" to "Inactive". The active status is for all units that are booked or that you want to be able to book reservations in. Typically "active" units are in your program. Typically, inactive units are properties that have left your program but you believe you will have them under contract again.   Inactive units cannot be booked.
This is a key point: Is there a chance that the unit will return to your program? Once a unit is made inactive it will not be counted towards the unit level. This means you can add new units to make up for any you have inactivated or deleted. You should be aware of how many you have given the inactive status. You can view a list of inactive units by selecting the Activate button and then clicking the select list. To return a unit to your program, select it from this list and then click “Continue” then choose “Activate”. To delete an Inactive unit you would also select from this list and then choose the “Delete” button. Inactive units can ONLY be deleted from the system using this screen.
RMS keeps track of how many units you have in the system. To see the number of units your system has go to the Utilities menu and choose “Add New Units”. On this screen you will see your Unit Level, the maximum number of units your system may have and the actual Active Units number. If there are any units waiting to be added you will also see that number.
The unit level also displays when you choose “About RMS” on the Help menu from the top toolbar. If you would like to increase your unit count at anytime, please call RMS Sales at 1-800-366-5152.

RMS 5 Users Enjoy New Custom Designed Letters
RMS 5 Users can now create letterswith pictures, custom fonts and special
formatting for their system. RMS 5 allows custom layout so that vacation rental
managers can design better letters that reflect the quality and character of their resort.
Over 25 types of letters are included within RMS from the standard confirmation letter to the after reservation letter.

These can be found on the User Designed Letters option of the Utilities Menu.

Previous versions of RMS have always allowed for the body of the letter to be written within the system. A text editor has always been included with the system. As technology has changed, what was formerly a printed letter designed to mail has become an item that could be printed on paper and mailed or emailed electronically to guests and owners.

The new update allows users to use any html editor they want. If they do not already have one, RMS may assist in making one available, however no technical support will be available for any software product other than the Resort Management System. The html format will allow pictures and graphics to be inserted into letters. Merge fields will be generated by RMS and can be inserted into the letter by the user during the layout process to place data where you want it rather than where it was in previous versions, usually hard coded after the body of the letter. Setting up these new dynamic letters may take time and creativity. If you are not ready to make changes in your letter do not install this update as it will delete your old letters. This update is not required. Once you are ready to create new letters, the time and effort put
towards a beautiful new letter will be worth it!

Owners Can View Statements Online

RMS users can give owners the option to view their statements online. The method is similar to the option banks offer for clients to view bank statements by logging in to a secure website. This convenient service is owner specific depending on their preferences and is determined by a simple setting in the Owner file of RMS 5. If an owner prefers online
statements, they may receive an email notification stating that their statements are available for viewing online. This option assures them privacy and cuts down on mailing and paper products from the management company, not mention ink and wear and tear on the printer.

These new owner statements will be in html format which gives the resor creative flexibility and option to design owner statements that better relflect the image of their resort. Give RMS a call if you have any questions .

Resort Management System Offers Tutorials on the Web
A growing list of self-run tutorials are now available on the web for RMS 5 users to view or download. The current library is geared towards
new users of the system. Some tutorials are targeting first time users of RMS who are just
getting started and setting up their system:

Creating Owners File, How to Create Seasons and Rates, How to Create Sections and Locations, The Unit File and Basic Reservations.

As the Library of tutorials grows, more advanced tutorials will be published. Some titles currently available include ones on: the Tape Chart, How to
create an Accounting Work Order, Owner Credits, How to Create Miscellaneous Charges along with How to Print Owner Statements and How to Finalize Owner Statements and Print Checks.

New users are encouraged to visit this site and long time RMS users may find it helpful for new staff training purposes. RMS Hot Tip

Owners will be expecting their 1099’s by the end of January, so now is the time to make sure you have prepared any annual reports for owners. The 1099 form must be issued to any person that you have paid at least $600 in rents services or other income payments throughout the past year. Typically, you should issue the form to any independent contractor that you paid
$600 to during the tax year. RMS has the ability to print both owner and vendor 1099’s.

The recommended list of Annual Procedures for RMS includes printing 1099’s for owners and vendors, as well as printing a Unit Totals report for you and your owners. These reports are found on the Owner Reports menu.

The 1099 and Unit Totals option on the Owners Report Menu will open a menu of choices for these reports, allowing you to print summary and detailed versions and copies for your company, your owners and your vendors. RMS will also create an IRS magnetic media file. The 1099s should be printed AFTER the statements for the last month of the year have been
finalized and prior to finalizing any current year owner statements.

Combating Viruses, Sypware and Malware

For all PC based users, protecting your data may involve anti-virus programs, anti-spyware, firewalls, filters and various security measures. Spyware is software that installs itself on your computer without you knowing it. Some spyware functions to collect personal information such as your web surfing habits. Other spyware will redirect your internet browser, trying to take control of what advertisements you see or take you to websites that may cause further harm. It can even change computer settings. Other names for this privacy invading software are: adware, contact hijacking programs and malware. Anti-spyware and anti virus software is recommended to protect your computer. Hosted RMS systems are secure and protected. Your hosted RMS is installed on a secure server located at a secure data center that is monitored 24 hours a day, seven days a week. The servers at our data center are supplied with uninterrupted power and your data is automatically and redundantly backed up every day. Just remember, any computer that accesses the internet, or receives e-mail, should have protection against viruses and spyware. Make sure your PC is protected, and that whatever anti-virus or anti-spyware program you use is updated frequently.

RMS Hot Tip: Email a Quote

Many RMS users don’t know they can e-mail a rate quote from RMS. This option is available when booking a reservation using Reservation by Search, the Tape Chart or the Unit Calendar Screen. The quote button is located on the Book a Reservation pop up window that appears once the arrival and departure dates are chosen for a unit when using the Tape Chart or the Unit Calendar screen.

Once the dates are picke, click the quote button and RMS will take you to the rate quote screen.  Next, click the Reports button at the bottom of the Rate Quote screen.  RMS users will then be given an option to "Send quote via email".  Select this option.  RMS will then prompt you for the name of the person to receive the quote.  Press <Enter> after typing in the name and you will be prompted for the email address.  Once the e-mail address is entered, press<Enter>  again to send the quote. Use the “Quit” button to leave the rate quote screen.

In the Reservation by Search process the button is located on the Unit Information screen once a unit is selected. The rate quote screen has the <Reports> button located on the bottom of the screen and the process is the same. RMS then returns you to the Reservation by Search screen.  You are not returned to the list of units available.  You must begin your search again if you would like a quote for a different unit.

If you do not have the email opeion available , you may need to create a Reservation Quote in your User Designed Letters, located on the Utilities menu.

Resort Management System and VRMA

RMS has enjoyed a long and mutually beneficial relationship with VRMA, the Vacation Rental Managers Association. RMS software was already in use in 1985 the year VRMA was formed. As the vacation rental industry has grown and changed so has RMS and VRMA.

RMS staff members recently attended the Annual VRMA Eastern Seminar in Myrtle Beach, SC. As always the event was an excellent educational opportunity for vacation rental managers to attend workshops on relevant topics and learn new strategies in business as well as network with other industry leaders. Vendors had the opportunity to showcase their products and services, such as RMS, which demonstrated its comprehensive vacation rental software and informed attendees about the newest features available in RMS.

The 24th Annual Conference for VRMA is scheduled for October 25th through the 29th.   The event will take place at the Sheraton Wild Horse Pass Resort and Spa in Phoenix, Arizona. The conference features both general sessions and small workshops to discuss key issues affecting vacation rental management and operation.   Suppliers, such as RMS will be on hand to demonstrate their latest products and services. Attendees may also want to plan to enjoy the beautiful sites and tour the area while visiting.

For more information about VRMA and the Annual Conference, check out www.VRMA.com. For more information on the Phoenix area go to www.visitphoenix.com.

RMS Hot Tip! Undeposited Funds Report

The Undeposited Funds Report may be accessed from an icon on the Accounting Menu. RMS recommends you run this report daily or on a regular basis.

The report will list all posted payments up until the cut off date entered by the user. The list of posted payments should match the list of transactions the user has to deposit into the bank. Always check the list of posted payments from the report with your deposit slip for the bank. Plus verify your credit card transactions with your credit card settlement from your bank card machine or online when using SLIM CD. Users check this report for accuracy so that it matches what is actually being deposited to the bank. The report can be run again, if needed, after corrections are made. If credit cards are included in the undeposited funds report, a worksheet is created to assist users in checking which cards have been processed. This worksheet will not reprint if the same undeposited report is printed again.

RMS will prompt the user to choose a Detailed report or just print Totals. The detailed report prints the transaction number, the date of the transaction, the reservation name, number, unit number, payment description and increase and decrease amount information. The Totals report is a summary of transactions listing the number of entries by type, their total and the total deposit amount.

Once the report matches your deposits, process the transactions using the Make Deposits icon on the Accounting Menu.
