The 2010 summer season flew by with many of you telling us business was booming and some of you too busy to call in!  Now that fall is here you may want to consider evaluating your system and how you might use RMS to raise efficiency and increase profits.  Are you using Advanced Accounting, Maintenance Work Orders or Online Booking?  Please give us a call if you would like to add one of these modules to your existing system or if you have any questions.
 
Our recent customer satisfaction survey allowed us to find out just what  you think.  Please look for a follow up e-mail from us to allow you to respond with more detail about why you gave us a specific score.  We loved the rave reviews but we always appreciate the suggestions too.  Good software is never finished.

Keeping Up With Maintenance
Now is a good time to assess  your units for upcoming maintenance. You can print out an owner listing with unit information from Owner Reports on the Reports Menu of RMS.  Your owners are your most important customers.  Use RMS to help you stay organized and devise a plan to winterize or make repairs in units during your low season.  Start planning now by entering charges if they are not already entered or utilize recurring fees. 
A monthly or seasonal maintenance fee could be set up as a recurring fee.  Enter the recurring fee information in the Recurring Fees file including the post dates and the v
endor associated with the charge.  The recurring fee is then assigned in the unit file.  Run the recurring fees utility, Post Recurring Fees, from the accounting menu when you are ready to charge the owner.  Do not run this utility twice or you will charge the owner twice!  This option is available with Advanced Accounting.
 
Reports in RMS
Are you ready to change your rates or evaluate your seasons?  The Rental Rates Listing can assist you with this task.  It is located under the Unit Reports menu on the Main Reports screen.  Use this report to see rates for each year you are booking reservations in RMS.  You can print or view this report. 
If you decide to change or raise rates they must be changed in the Rate File.  Seasons must be edited in the Seasons File.

As you look over your year, you may want to take a peek at some end of year reports or just check on some of your rentals bookings for one or all units.  The Unit Nights Gross report, also located on the Unit Reports menu is a good way to look at each units calendar.  The number of nights and rental amounts for a selected year will total.

Reporting Live from RMS!

"Reports in RMS come in all shapes and sizes!  All of your correspondence User Designed Letters" are customizable.  This means you can rewrite them and keep them current.  At installation time some stock letters are supplied in  your system.  You can use those as templates if you want.  Merge codes are inserted in those letters to make them dynamic with your data.

 If you want to add graphics to your letters or format them in a special way then you should be using html letters.  Most of our AdvancedCare members are using html letters.  If you are not sure which kind of letters you are sending out of RMS, or if you need any assistance with your letters give us a call or e-mail This e-mail address is being protected from spambots. Updates

Many of you went looking for the Update Notes and found them in the Knowledgebase, in the Programming Notes article.  The link in the Update notice takes you to the RMS Support Center but you still have to LOGIN.  Your login is your e-mail address.  If you forget your password we can reregister you!

RMS Provides the Tools You Need!

RMS provides you with the tools you need to successfully manage the complexities of  your business.  Just taking a reservation involves a detailed process that RMS can simplify.  By taking the time to understand how to use your RMS to its potential you save time and offer a better quality of service to your guests and owners.  Are  you putting RMS to work for you?  Here are some ways to take advantage of the powerful Reservation System RMS has to offer:

 
Know how to pick your method of booking a reservation in RMS
Use Reservation by Search for when the guest has particular preferences and enter their search criteria. Use Reservation by Unit for guests who know what unit they want to book and you already know it's available or for Owner Reservations.  Use the Unit Calendar to see availability when a guest already knows which unit to request.  For those users who are more visual, use the colorful Tape Chart and take advantage of the filtering option for properties to book a reservation viewing 39 days of availability.
 
Know how to post payments to reservations.
Reservation payments may be posted using the link from the Reservation View screen or use the Reservation Payments icon from the Reservation Navigation menu and post a series or reservations while RMS totals your number of entries and the amount.  When payments are posted the operators initials are required.  A transaction note will automatically be created.  Travel insurance can be tagged as paid and a receipt can also be printed from the Reservation payments screen.
  
Know how to report your reservation information.
Reporting in RMS is one of the most powerful tools you possess.  Inhouse reports used to assist you in management as well as Owner Reports and Guest correspondence are essential to your business.  Make the most of your built-in reports.  Over a hundred reports already exist in RMS, but if you need a Custom Report, assistance is available to create a query for the information you require.  Reporting in RMS is so vast, we will be doing a series on RMS Reports You Need to Know.  See the article below and watch for more articles about RMS Reports in the next RMS Newsletter or Hot Tips E-mail.
 
Owner Reservation Listing
The Owner Reservation Listing is a list of all future reservations in a unit.  It is often sent to the owner on a monthly or periodic basis, and it can be printed or e-mailed. 
To run this report, choose the Owner Reservation Listing option on the Owner Reports Menu.

To print this report by unit, go to the Unit Calendar on the Reservation Menu and select a unit.  Use the Printer Icon button to generate a reservation listing for that unit.  This report can be printed or e-mailed to the owner from this screen.  This listing does not include archived reservations.
 
To print the names on the Owner Reservation Listing Report, go to Information to Print in the Control File,  then Owner Reports Information to print and make sure [yes] is selected for Print Resv Name on Owner Reservation Listing.  If you do not want the names to print out on this report then select [No].  If you are using HTML letters the Owner Reservation Listing is a User Defined Letter.  The merge tags for this report are

**ORL:RESV.P.NO.PEOPLE.NO.NAME** for the list that does not include guests names and 
**ORL:RESV.COLUMN** for a listing that does include names of guests.

Special Delivery  : RMS Update

The most recent RMS update contains a variety of improvements and fixes to your
RMS.  Many of these items were requested or reported by you, our valued RMS software
 users.  We know that it is important for you to have control of your data every
 working minute.  Our goal at AMS, Inc. is to make RMS the most efficient set of
 tools in your office. We strive to improve our product as well as our services
and communications with the users of RMS.

"How does my system get updated?"  RMS schedules your system to receive the update.
Upon logging into your RMS, you will may be prompted that an update is available.
 You will accept this update.  Once the update has been downloaded, you will need
to log out of RMS and then log back in to install the update.  RMS will prompt you
to allow the update to install.  Most Hosted RMS users will be updated by an RMS
 technician and my not see the prompts described above.  PC based users will be
required to accept the update and allow it to install.

To check on what version of RMS you are running you can always go to the 'About
RMS' option on the Help Menu.

Accounting Work Orders vs. Maintenance Work Orders
Let the battle begin...Accounting Work Orders vs. Maintenance Work Orders in RMS.
Here's the low down:  Accounting Work Orders are available to all systems, even
those without Advanced Accounting or the Maintenance System. This type of work
order is entered after the work is done.  Some prefer this work order because it's
quick.  The Accounting Work Orders post a debit to the owners liability account.
 A one line description will appear on the owner statement describing the work
done and the charge to the owner.  This work order entry, which is done from the
accounting menu, can also create a payable, such as to pay a vendor. Keep in mind
that payables are only available with Advanced Accounting.

Maintenance Work Orders are a more powerful tool that requires some set up prior
 to use and more information is entered on the work order as the work progresses.
 This work order is only available when you have the Maintenance System turned on
in RMS.  Entering a work order this way does not automatically create a transaction
on the owner statement.  The work order goes through a series of stages that make
it useful to track a work in progress.  The work order process goes from entered,
to assigned  and then completed where you can price out parts and labor or create
markups.  It allows you to keep a record of all work orders in different categories
for different units and then look these up as needed by various criteria.  These
 Maintenance System work orders must be posted to owners accounts using a utility.
 They can also create payables to vendors.

Adding New Units
After you have entered a new owner and new unit information in RMS you must run
a Utility, Add New Units to be able to book a reservation in the unit.  When you
 add new units to your RMS, the Unit Level, Active Units and Units to Add count
will display in the Add New Units to System Utility screen.  What happens when you
reach your current capacity?  Check to make sure all your units need to be active.
 Delete any old units that are out of your program and inactivate any that have
left but may come back.  This will make room for more units to be added into your
program.  Be sure to print out any reports you need before deleting a unit, such
 as the Unit Nights Reservations Booked or Unit Nights Gross report found on the
 Unit Reports Menu.  If you need to upgrade your unit count give us a call for a

Rotating your Units for OLB

The Rotate Units utility allows RMS users to change the listing order of their online units for non-dated searches.  The icon to run this utility is located in the Online Booking Navigation Menu.  If you have not run this utility before, use the Reset Unit Web Sort Values first and then export all units to web.  Next run the Rotate Units utility and export units again.  The next time you want to rotate units you will only need to run the Rotate Units utility and Export Units to Web.  The sort order is stored in the Unit File, Web Options tab, Sort Order text box.  

 RMS Update Scheduled
 
A new update in RMS contains a variety of enhancements, changes and fixes to your system.  Some of these will not be apparent and your system will update seamlessly on schedule without interruption to your daily business.
 
 RMS will schedule the updates to go out automatically starting this month.  Here are a just a few highlights of the update:
 
  • Owner Statement Process has been revised
  • Tapechart display issue fixed where archived and current show properly
  • Reservation Quote process revised
  • Reprint Finalized Ownerstatements improved
  • Disbursement process improved

Travel Insurance in RMS

RMS can automatically calculate travel insurance at the time of booking giving your renters peace of mind that their vacation investment is protected.  Deadlines can be set in RMS allowing Travel Insurance to be accepted up until a specified time-frame prior to arrival.  End of month reporting in RMS allows users to see Gross Premium, Net Premium and Commission information easily.  If you are not using Travel Insurance and would like to set it up in RMS, please give us a call!  1-800-366-5152. ext. 250.

RMS Partners with FlipKey

RMS announces its partnership with FlipKey, a leading vacation rental service provider. FlipKey boasts the largest collection of verified vacation rental guest reviews on the web. It is a provider of vacation rentals on TripAdvisor, the largest travel community in the world with more than 25 million unique monthly visitors. What is a Traveler Review?

A Traveler Review on the website TripAdvisor.com is a way for guests to write about and share their vacation experiences at your accommodation or resort. It may include any details of the location including restaurants or attractions they visited during their stay.

The review must follow established guidelines in order to be published such as non-family–friendly content is prohibited. All reviews must be written by a traveler, based on personal experience and not second-hand or hearsay information. Employees or management of establishments may not pose as guests and write reviews

Reviews must be fairly recent, and that means the content should cover experiences that have taken place in the last three years.

No personal insults or irrelevant comments will be posted. Questions or comments to property representatives, TripAdvisor, FlipKey or its members are not allowed.

RMS users that are FlipKey members can easily collect and manage Traveler Reviews. These reviews can be integrated onto your website seamlessly or into your RMS unit detail page for use in a variety of ways.

RMS Maintenance: Work Orders

If you are involved in the maintenance of the properties you manage, RMS has two ways to assist you in documenting and billing all the work that you do!

For an “after the fact” work order use the accounting work orders. The accounting work order entry is found by going to the top tool bar and then choosing Work Order Entry from the accounting drop-down menu. A work order transaction screen opens up that allows you to create new work order transactions that appear directly on your owner statements. You can also view past work order transactions that were entered as accounting work orders from this screen by clicking the view button. These accounting work orders can create payable entries if they are tied to a vendor or they can be distributed directly to a GL account.

This type of work order is an easy way to enter a line item directly onto an owner statement after the job has been completed and is billable to the owner. If you are interested in creating work orders that start when the job is first requested you may want to use the Maintenance work orders.

The Maintenance work orders go through a series of stages from when the job is first requested or the need for repair is reported, to assigning, completing and billing the work order. Work orders created in the Maintenance system are not automatically entered on the owner statement. The “Post Work Orders to Owner Accounts” utility tells RMS that you have completed the work order, it is billable and to include it on the next available Owner Statement.

The Maintenance work orders also allow for vendor mark ups and differentiating between labor and parts costs.

RMS Hot Tip:  Season Supplements

The Season Supplement file allows you to apply restrictions to check-in or check-out days, specify the minimum number of nights permitted for a reservation or apply restrictions to reservations crossing seasons.   It works with the Seasons file. It is not required that you use the seasons supplement file.  

The Season Supplement File is located on the Files Menu. When you create a ‘New’ Season Supplement File you give it an ID and Description. You must also assign a seasons file to the supplement from the list of seasons already in the system. This tells RMS what dates to apply the restrictions entered for this supplement.

You can set the ‘Minimum nights’ and the ‘Check-in days allowed’ or you can leave one of these alone. It is not required that you set both of them. If you are using either ‘Minimum nights’ and/or the ‘Check-in days allowed’ you do not set the Departure days or Cross Seasons values.

If you have units with restrictions you assign the Supplement in the Unit File on the Rates and Charges screen. You tell RMS which Season Supplement to use for each of the three years your system is tracking.

If you want the same restrictions to apply to a unit throughout the year, use the ALL YEAR season to attach to your season supplement. The ALL Year season should already exist in your systems Seasons Files and should run from January 1 through December 31 for each year you are tracking.

If you are using restricted Departure days located at the bottom of the screen, then you do not set Minimum Nights and the Check-in days. Simply check the boxes for the days departures are allowed while the season is highlighted at the top portion of the screen. Departure days restrictions are not required.

The Cross Seasons Arrival/Departure Days is only used when Departure days restrictions apply.

Season supplements apply to all bookings made in units they are assigned to, including in office and online bookings. Some restrictions may be overridden when making in office bookings by choosing the “not verified” option on the Reservation by Unit screen.

Combating Viruses, Sypware and Malware

 For all PC based users, protecting your data may involve anti-virus programs, anti-spyware, firewalls, filters and various security measures. Spyware is software that installs itself on your computer without you knowing it. Some spyware functions to collect personal information such as your web surfing habits. Other spyware will redirect your internet browser, trying to take control of what advertisements you see or take you to websites that may cause further harm. It can even change computer settings. Other names for this privacy invading software are: adware, contact hijacking programs and malware. Anti-spyware and anti virus software is recommended to protect your computer. Hosted RMS systems are secure and protected. Your hosted RMS is installed on a secure server located at a secure data center that is monitored 24 hours a day, seven days a week. The servers at our data center are supplied with uninterrupted power and your data is automatically and redundantly backed up every day. Just remember, any computer that accesses the internet, or receives e-mail, should have protection against viruses and spyware. Make sure your PC is protected, and that whatever anti-virus or anti-spyware program you use is updated frequently.

Submit a ticket or Search the Knowledgebase RMS offers a number of options for users to get technical support. Users can post and track e-mail questions using their own e-mail account or by logging into the RMS Support Suite. To take advantage of Support Suite first go online to http://resortpilot.com. Users must be registered. If you aren't registered already, click the Register for AdvancedCare icon. RMS will review your information and set up an account. Once a user is registered, any e-mails sent to This e-mail address is being protected from spambots. You need JavaScript enabled to view it. automatically create a ticket which a user can track using the resortpilot.com website. Tickets can also be created by logging into your account and clicking “Submit a Ticket”. Support staff responds to tickets and sends back an e-mail. Knowledgebase and News articles are available once you are logged into your account. If you don’t have an account, create an account today by registering at http://resortpilot.com!

RMS Hot Tip: Email a Quote

Many RMS users don’t know they can e-mail a rate quote from RMS. This option is available when booking a reservation using Reservation by Search, the Tape Chart or the Unit Calendar Screen. The quote button is located on the Book a Reservation pop up window that appears once the arrival and departure dates are chosen for a unit when using the Tape Chart or the Unit Calendar screen.

Once the dates are picke, click the quote button and RMS will take you to the rate quote screen.  Next, click the Reports button at the bottom of the Rate Quote screen.  RMS users will then be given an option to "Send quote via email".  Select this option.  RMS will then prompt you for the name of the person to receive the quote.  Press <Enter> after typing in the name and you will be prompted for the email address.  Once the e-mail address is entered, press<Enter>  again to send the quote. Use the “Quit” button to leave the rate quote screen.

In the Reservation by Search process the button is located on the Unit Information screen once a unit is selected. The rate quote screen has the <Reports> button located on the bottom of the screen and the process is the same. RMS then returns you to the Reservation by Search screen.  You are not returned to the list of units available.  You must begin your search again if you would like a quote for a different unit.

If you do not have the email opeion available , you may need to create a Reservation Quote in your User Designed Letters, located on the Utilities menu.

RMS 5 Users can now use their computer as their credit card processing machine with the SLIM CD Credit Card Update.

SLIM or Secure Line Internet Merchant Services has been partnering with RMS for more than a year to offer users the latest in credit card processing.

Credit cards are immediately authorized during the reservation process and at payment posting time. Approval or decline is conveniently provided at the time of entry.  RMS has enjoyed a long and mutually beneficial relationship with VRMA, the Vacation Rental Managers Association. RMS software was already in use in 1985 the year VRMA was formed. As the vacation rental industry has grown and changed so has RMS and VRMA.

RMS staff members recently attended the Annual VRMA Eastern Seminar in Myrtle Beach, SC. Offer Your Guests the Best with RMS!

RMS users can offer their guests protection for their travel investment with travel insurance. Resort Management System Offers Tutorials on the Web

A growing list of self-run tutorials are now available on the web for RMS 5 users to view or download. The current library is geared towards new users of the system. Many tutorials are targeting first time users of RMS who are just getting started and setting up their system: Creating Owners File, How to Create Seasons and Rates, How to Create Sections and Locations, The Unit File and Basic Reservations.

As the Library of tutorials grows, more advanced tutorials will be published. Some titles currently available include : The Tape Chart, How to create an Accounting Work Order, Owner Credits, How to Create Miscellaneous Charges along with How to Print Owner Statements and How to Finalize Owner Statements and Print Checks.

New users are encouraged to visit this site and long time RMS users may find it helpful for new staff training purposes. RMS Hot Tip! Undeposited Funds Report

The Undeposited Funds Report may be accessed from an icon on the Accounting Menu. RMS recommends you run this report daily or on a regular basis.

The report will list all posted payments up until the cut off date entered by the user. The list of posted payments should match the list of transactions the user has to deposit into the bank. Always check the list of posted payments from the report with your deposit slip for the bank. Plus verify your credit card transactions with your credit card settlement from your bank card machine or online when using SLIM CD. Users check this report for accuracy so that it matches what is actually being deposited to the bank. The report can be run again, if needed, after corrections are made. If credit cards are included in the undeposited funds report, a worksheet is created to assist users in checking which cards have been processed. This worksheet will not reprint if the same undeposited report is printed again.

RMS will prompt the user to choose a Detailed report or just print Totals. The detailed report prints the transaction number, the date of the transaction, the reservation name, number, unit number, payment description and increase and decrease amount information. The Totals report is a summary of transactions listing the number of entries by type, their total and the total deposit amount.

Once the report matches your deposits, process the transactions using the Make Deposits icon on the Accounting Menu.
