Reviewing your Seasons and Rates
RMS allows you to book reservations for 3 years. If you are already booking reservations for 2013 you will want to make sure your seasons are in line with the 2013 calendar and that your rates are accurate..
Editing your seasons can be simple. Go to the Seasons File and retrieve the season file that your rates use. Once you have it up, highlight the season or segment of dates that you want to change. Next, you will click "Edit" and you may enter a new start date or a new end date for that season or segment of the year. Click "Apply" and 'OK" to save your changes.
If you want to change the amount you are charging for a reaservation you will change these dollar amounts in the Unit Rates file. Click on the Unit Rates icon from the Files Navigation menu. To adjust the dollar amount of your rates, select the rate from the list of rates on file or enter the rate ID and click Go to retrieve the rate you want to change. You will see the seasons associated with the rate. Highlight the season date range and you will see the dollar values for the Daily Rates and the Weekly available to change. Do this for each season date range whose rates need to be changed.
If you use Day Rates, or rates that can vary depending on the number of nights rented, you will use the [...] Day Rate button at the bottom half of the Unit rates screen. You will need to click in each day of the season you have highlighted.
Managing your Cleaning
RMS has a number of ways to assist you with managing your cleaning. There are different ways to charge cleaning and several reports to assist you in tracking this information.
Most users of RMS use the cleaning charge value stored in the Unit File>Percents and Charges screen. You can charge a different amount depending on the status or type of reservation booked such as a Standard Guest (A) reservation or an Owner reservation (B,C,CY). You can also add more cleaning charges to a reservation using Other charges. Cleaning can be charged to the reservation or the property owner.
What if you want to print a report to show what units need to be cleaned? Many property managers use the Departure report. This report selects units depending on the dates you enter and has several sorting options. Priority cleanings, properties that have a departure and an arrival on the same day, are marked with a 'P' on this report. Notes can be included on this report as well.
Perhaps a better report to use is the Cleaning Work Orders and the Cleaning Work Order Summary. These reports are found on the Reports Menu>Cleaning/Equipment reports. The Cleaning Work Order Summary will also show departures for units that need to be cleaned and can show next arrivals as well as priority cleans. It can also show Linen Details, Sleeping Accommodations and sort by cleaning Vendor. This summary report works in conjunction with the Cleaning Work Orders which are work sheets for the cleaning crew that you design in the User Designed Letters.
Do you want to run a report to show the amount of your cleaning costs and the amount paid? Cleaning costs may be entered in the Unit Inventory File>Cleaning Info tab. You can also assign a cleaning vendor in this file on the Vendor Info tab. The Cleaning cost report can then assist you in calculating total costs and it can be organized by cleaning vendor. Keep in mind that a cleaner may also be assigned to a reservation. This is done via Reservation Maintenance>Assign Cleaning Vendor. The Cleaning Cost report will also indicate if the reservation is to pay or the owner is to pay for the cleaning. This report will total the cost amount and the paid amount for cleaning according to the dates you enter.
